PMO Analyst
Role: Senior PMO Analyst

Business Unit: Panorama Delivery

Reports to: PMO Reporting Manager

Type: Full-time, permanent

How will I help?

A Senior PMO Analyst is required join to team and work across the Simplification and NEO programs.

The Panorama business transformation program is a strategic initiative to deliver a market leading wealth platform on modern technology infrastructure. Part I of the program, known as 'Panorama Program', has built the offer on modern technology, specifically, the Panorama platform. Simplification (this Program) is Part II of the transformation is transitioning the existing business on the BT Wrap platform to the target platform, Panorama.

In addition to the transition to Panorama, the Simplification Program also seeks opportunities to rationalise and simplify the number of products, entities and business processes, to realise reductions in both migration and ongoing compliance and maintenance costs. Perform the data management function for the allocated data domain portfolio and support the Executive Data Controllers and Divisional Data Owners in the execution of their data ownership responsibilities.

Responsibilities for the role will include:

  • Management of the Program's/Project's weekly / monthly operating schedule / timeline (including Forward planning) for the PMO team and the PMO Manager

  • Assist in documenting and maintaining all portfolio/program processes and guidelines, ensuring they are kept current

  • Assist the PMO Reporting Manager in meetings with Project Managers to ensure that documents are being generated and signed-off as per the Deliverables List

  • Ensure that appropriate induction materials are in place, with guidelines for Managers to onboard staff

  • Keep abreast of any changes to the PgEF, PEFm and templates and assist the PMO Manager with the related communication of these changes to the Project Management community within the program

  • Assist the PMO in ensuring timely and quality generation of status reports from the Clarity system, Supplementary Status Report or any required divisional month-end report of monthly program/project

  • Support the development of monthly reporting and Steering Committee packs

  • Assist the PMO Director in chasing progress updates on action items

  • Ensure all final versions of key documents are captured and stored appropriately on the relevant Intranet/ SharePoint site, with consideration to audit and security (electronic project document repository - EPDR)

  • Manages requisitions & invoice approvals

  • Manage document control procedures, in conjunction with the PMO Manager

  • Management of PMO meetings via minutes and actions, chasing progress on actions and booking meetings. Also updating and maintaining Key Decision Register based on meeting minutes

  • Keep team distribution lists and team data sheets current (e.g. resourcing register)

  • Ad hoc projects or reporting as requested by Program Director, PMO Manager

    What do I need?


  • Knowledge of Westpac's Project Execution Framework methodology (PEFm)

  • P3O / PMO knowledge would be desirable


  • Experience working on large projects and / or programs

  • 1 years in an administrative or office support role

  • 1 years in a large organisation

  • 1 years in a PMO within Westpac is highly desirable

  • Administration of SharePoint and/or Intranet

  • Clarity experience

  • WASP experience (internal database for Financial tracking and forecasting)

  • Experience with Microsoft Office products to an advanced level

  • Project methodologies/ project environment
