Personal Assistant, Associate 2

Purpose:
Provide administration support to the COO at State Street Krakow.
Primary Job Role and Responsibilities:

  • Daily executive diary management for the COO in line with the priorities and office location
  • Full focus on the COO's schedule, meetings, logistics and agenda for the day
  • Maintaining a clear and organized day plan
  • Setting up a high volume of meetings and 1:1's, both within Poland locations as well as other State Street locations, resolving conflicts and rescheduling when applicable
  • Maintaining the meeting schedule based on the COO's requirements
  • Arranging meetings rooms, setting up Video Conferences on behalf of the COO
  • Assisting with the preparation of meeting materials
  • Booking and arranging travels, transport and accommodation
  • Preparing the agenda's and itineraries for the COO in advance of the business travels
  • Full ownership of the expense reimbursement for COO
  • Liaise with internal staff at all levels
  • Interact with other State Street administrative assistants and Administration Team Leader

Minimum Job Specification
  • Engaging personality with an appreciation of cultural and human diversity

  • Fluent in English in speaking, writing and reading
  • Experience in similar role is a must
  • Confident character with a positive attitude
  • Ability to work under pressure with appropriate supervision
  • Strong ability of multitasking, prioritizing and reprioritizing tasks
  • Experience of project management as well as strong presentational skills. Power Point, Excel and Word Skills required
