Divisional Assistant
This is a full-time Divisional Admin position within the Technology Division. The Divisional Admin is to provide administrative support across the BU's within specific functions and work as part of the Admin team. This role provides exposure to a variety of administrative queries, either by telephone, email or face to face from within the Division. The team also liaise regularly with key stakeholders across the firm. Candidates should have experience in working within a busy environment, be self motivated, demonstrate excellent communication and interpersonal skills, be able to prioritise effectively and have the ability to learn new systems and processes quickly. A strong proficiency in MS Office is also preferred.

Primary Responsibilities:

  • Vendor Contract Management
    • Create; renew or amend worker's contracts and liaise with global legal contact
  • On-boarding / Off-boarding- Contractor / Graduate Recruitment
    • Creation of accounts through Technology@MyDesk
    • Phone and voicemail set up/moves
    • Desk and PC set up
    • Order hardware where necessary
    • Security Access

Secondary Responsibilities:
  • Maintaining Admin SharePoint Site
  • Aged expenses management
  • Space Management
    • Maintaining floor plans for BCP purposes
    • Completing occupancy updates for new starters, leavers etc
  • Artemis time tracking system
  • Provide first level email/phone/in person support to users as and when needed
    • Time sheet adjustment
    • Manager Approvals groups maintenance
  • General Admin duties
    • Guidance to travel bookings and expenses processes
    • Occupational Health - Scheduling desk raises and ordering equipment.
    • Distribution List Maintenance - General and BCP
    • Arrange security access for visitors
  • Division wide communications
  • Identifying and improving processes
  • Holiday & Sickness Cover for BU Admins
  • Proficient in MS Office, including Outlook , Word and Excel
  • Ability to be proactive, use initiative and multi-task
  • Time management and prioritisation skills
  • Excellent attention to detail
  • Excellent written and verbal communication skills
  • Administrative background within a team
  • Ability to handle sensitive and confidential information
  • Organisational and interpersonal skills
  • Professional, self motivated and flexible
