We are looking for a proactive and detail-oriented IT PMO Coordinator (m/w/d) to support the IT Project Management Office on-site. This role plays a key part in ensuring smooth coordination of IT governance, processes, and project activities, while supporting internal stakeholders and service providers.

- Administrative Coordination
- Coordinate the commissioning and management of internal and external service providers
- Support administrative processes within the IT PMO
- Meeting & Stakeholder Management
- Organise and coordinate IT governance meetings (e.g. Demand Boards, Service Delivery Boards, Steering Committees)
- Prepare agendas, documentation, and follow-ups
- IT Governance Support
- Maintain and develop templates, best practice documentation, and governance materials
- Manage and update IT-related intranet content
- Process Management
- Create, document, and optimise internal IT processes
- Model workflows and ensure alignment with organisational standards
- Compliance & Controls
- Support IT activities related to internal controls (e.g. ISO compliance)
- Assist in audit preparation and documentation
- Project Support
- Lead or support smaller IT projects
- Gather and manage business and technical requirements
- Financial Coordination
- Support the semi-annual IT budgeting process
- Assist with cost tracking and reporting
- General Coordination Tasks
- Organise internal events and workshops
- Prepare presentations, reports, and management summaries
Your profile:
- Proven experience in PMO, IT coordination, or project support roles
- Strong organisational and communication skills
- Ability to manage multiple stakeholders and priorities
- Experience with IT governance frameworks and processes
- Familiarity with process modelling and documentation tools
- Understanding of IT compliance and audit topics (e.g. ISO standards) is an advantage
- Solid skills in MS Office (especially PowerPoint, Excel); knowledge of collaboration tools is a plus
- Proactive, structured, and solution-oriented working style
- Fluency in German (C1/C2 level) and English
